13.18 – Leaving a Voicemail With the Right Information: A professional voicemail saves time and shows courtesy. When leaving one, start by introducing yourself clearly with your full name, reason for calling, and a callback number spoken slowly. Keep the message under one minute and avoid filler phrases or emotional tone. Speak clearly, smile slightly, and keep your voice warm but direct. Repeating your number at the end helps the listener catch it easily. Always check your phone connection and background noise before calling to maintain clarity. If the call is for an appointment, include the date and topic so staff can prepare before returning your call. Voicemail etiquette reflects organization, reliability, and respect for others’ time. When people hear a calm and structured message, they’re more likely to respond promptly. Practice your script a few times until it sounds natural. The habit of thoughtful voicemails builds your personal professionalism and sets you apart as dependable and well-mannered.
